Last week I shared that I’ve been going hard with GrokBot.

That hasn’t slowed down — in fact, it feels like it’s picking up steam as I keep adding to the pile of work it does…
Again, I’m just finding it insanely frictionless to get tasks going.
Here are some items I added in the last 2 weeks (below copied from my COO “Mac”)
[and I know some of these items won’t make sense — but just imagine I’ve onboarded an employee and we’re slowly building out recurring jobs and tasks to work on]
• Took over Facebook Insights for Gulf Coast Beach Vibes: every two weeks we turn the report into a short “keep / kill / try” brief for you and Tish.
• Added a Tuesday morning check that looks for that Beach Vibes Facebook report.
• Restarted Dog Mom Humor with four auto-posting content folders (quotes, tees, funny dogs, memes) and generated about 50 images for each.
[*Brooks note: the above Facebook pages are experimental, and I had no time for them. But it was able create strategy and images in folders — I then hopped over into Claude and set up Make automations to run on autopilot! Grokbot allows me to continue testing so that I can help companies grow their Facebook pages as needed — reach out!]
• Set a one-month reminder (Oct 22) to review Dog Mom Humor results before deciding on a regular insights cadence.
• Wrote a clear “buy box” for helping a friend find blue-collar businesses to buy ($2–4M profit range, owner handoff required).
• Added a Wednesday lead packet for those business hunts (a few vetted leads) and ran a sample.
• Got a next-state CPA directory scorecard (which states what to build next after the first five live sites).
• Built write-ready outlines for the top 20 Track It and Save articles.
• Built write-ready outlines for the top 20 Unboring Surveys articles.
• Scraped Starter Story business ideas and scored which fit your lanes.
• Copied your agency client spreadsheet into a local clients file so retainers and opportunities are easier to review (~$2.1k/month active).
• Added a monthly “client care + growth” pass (drafts only until you green).
• Added a weekday end-of-day “Tomorrow’s Big 3” so the next day starts with three clear priorities.
• Added a weekday health check that catches when other desks’ scheduled jobs look stuck, and harvests new open loops.
• Gave every open loop an Owner name so you know which desk owns the follow-up.
• Finished the hard Helpful Analytics email warm-up; a light daily trickle continues; real outreach waits until you ask.
• Set up Nextdoor monitoring for pressure-washing leads for Dylan (weekday search + email keyword flags; only recent posts).
• Paused the Assistant-of-Brooks Discord bot in the Local Newsletters server (left that community; other servers stay on).
• Documented how to tell which Stripe account/payout is which when the bank only says “Stripe.”
• Tightened Upwork rules: AI coaching topics are interesting, but dirt-cheap multi-Zoom packages are a hard pass.
• Moved James’s newsletter packet to every 21 days, with Subject/Title/links formatted for easy paste into Beehiiv.
• Added recurring SEO review packets for Beach Vibes and Helpful Analytics (keywords + search data).
• Looked up what platform letscutyourgrass.com runs on (Duda) when you asked.
• Same hard gates: no buys, outsider email, or Connects without your go.
If you missed last week, I shared that I sold a few domain names and that I decided to hire Grokbot to run my domain investing business.
That’s what got me started!
The jobs we lined up during the first 2 weeks of use are below…

• Built a small AI team with clear jobs: a COO, an assistant (Jenn), domains, business buying research, directory research, and SEO.
• Set a Monday planning meeting that reviews your life + business scorecard and priorities.
• Launched a phone bot that can call people and collect info for you (on your phone number).
• Had Jenn send short “call notes” emails after calls instead of dumping long auto-transcripts.
• Connected Google Search Console so we can regularly find article ideas from real search data (you approve before anyone writes).
• Pulled search data across your sites and produced about 15 article ideas for you to approve first.
• Set a recurring packet for James’s YouTube newsletter (new video + short copy + images to drop in).
• Defined what Upwork jobs are a fit (prefer higher rates, no crypto, under 30 hours a week).
• Added a weekday Upwork shortlist (a few best matches; you approve before spending Connects).
• Actually submitted a proposal from that shortlist.
• Wrote living docs that explain your businesses and how you work.
• Set up a new Helpful Analytics email address and started warming it so it can send safely later.
• Connected your two personal Gmail accounts for AI inbox help (left Jenn’s inbox alone).
• Built an inbox system that fits you: Act, Glance, Do Later, and Noise.
• Added a weekday morning email pass that only pings you when something needs you.
• Auto-marks threads where you’re waiting on someone, and flags ones older than a week.
• Stopped treating thousands of old unread emails as the to-do list — focus on the real Primary working set.
• Documented email labels and a simple process so triage stays consistent.
• Created a Directory Labs desk to research CPA state sites and new directory niches.
• Connected Ubersuggest for keyword research.
• Built a full SEO writing pack for Gulf Coast Beach Vibes (20 outlined articles + keyword notes).
• Fixed overlapping website topics and replaced six conflicting ideas with new ones.
• Built a Helpful Analytics SEO pack with an 18-post backlog aimed at real gaps (not copycat GA4 posts).
• Spun up an SEO Research desk and handed it Beach Vibes, Helpful Analytics, and the monthly search report.
• Started a living list of directory/backlink places to submit sites.
• Added a twice-weekly “open loops” nudge so unfinished threads don’t die quietly.
• Connected Slack for light team kickoffs (kept WhatsApp for normal human chat).
• Helped a friend get magnoliacemetery.com working on HTTPS via Netlify.
• Mapped his unused Hostek/SmarterMail email so he can see what he’s paying for.
• Kept hard rules: no buying, outsider email, or Upwork Connects spend unless you say go.
Pretty wild reading the above list, because I had already forgotten some of the items we set up.
And it sets up its own routines really easily.
I’m still a daily Claude Code user (still my daily driver), but I’ve now hired Grokbot to be a part of my team as well.
I see it the same as hiring a new employee for $100/mo. and setting them up with some work to do.
Update: I just turned in all financials to my CPA and we’re almost done with 2025 books, so all worked perfectly!

Week 3: AI Won. I fired my bookkeeper.
I officially ended my bookkeeper’s contract last week…

I tried to keep them; I really did.
But I was just too impressed with what I was able to create on my own.
I didn't end it because I don't like them or they did a bad job - they're very nice and do fine work.
I ended it because there was way too much friction in the process, and it's been a thorn in my side for years. And as you know, it’s my goal to erase friction.
